Welcome Team Purpose and Responsibilities
Overall purpose of the Welcome Team
The Welcome Team serves the key function in helping people connect with Jesus and with the Wharfedale Vineyard community of faith by making guests and regulars feel welcomed and at home at WW.
A good job is being done when: • Guests and regulars are greeted warmly at arrival and are provided with accurate information on the location of venues, refreshments and amenities, as well as on the overall timings of the event • Guests are accompanied into The Street and are helped to connect with the community by being introduced to regulars as appropriate • Guests are provided with information on venues and schedule for the event, and on how to become involved in the life of the Wharfedale Vineyard, should they wish to do so
Welcome Team Leader Specific Responsibilities
1. To build a team of people who have a heart for welcome and making guests feel at home 2. Organise Welcome team rota every 3 months & email copies to staff member supporting WW 3. Build relationships with other team leaders at WW 4. Train & equip members of team 5. Check on stocks of welcome pack and news sheets, and liaise with office on replenishing stocks as needed 6. Liaise with Set Up Team 7. Ensure team members are aware of relevant health & safety issues 8. Recruit & train your replacement 9. Report to Erik Peeters, staff member supporting Weekly Worship
Welcome Team Member Specific Responsibilities
Welcome
1. Arrive at 9:45am prompt 2. Check welcome boards and signs have been set up and offer to help set them up if required 3. Be ready to greet people at the front doors from 10am. 4. Give out notice sheets and welcome packs as required. Stay until most people have arrived, usually around 10.45am 5. If you recognise people as guests point out where the toilets are (in the corridor leading towards the Theatre) and walk them along The Street to refreshments 6. Ensure people have found a coffee/tea, somewhere to sit and someone to talk to (if they want!). 7. Introduce guests to a regular if appropriate, particularly if you think they will have something in common, e.g. kids of a similar age, living in the same area, similar jobs 8. All guests should be offered a welcome pack which should be found in the welcome box under or near the resources centre 9. If anyone has a particular question or information request you can not answer, introduce them to a member of the pastoral staff for further help 10. Once the main service has started at 10:30am, direct people towards the back entrance to the Theatre on the first floor. 11. Upon leaving, if you see anyone looking lost show them the way out 12. If people can’t remember where they left their children help to find them 13. If it is a week 4 and the next week is a 5th Sunday it may be worth mentioning this if you have the opportunity 14. Liaise with Welcome Team Leader regarding availability for rota 15. If unable to make date on rota arrange swap with other team member & call/text/email Welcome Team Leader to let them know 16. Report to Welcome Team Leader and Erik Peeters
